Managing users on your XNAT project§

Viewing users on your project§

  • Navigate to your project (Click the Browse drop-down, click My Projects and select your project)
  • Select the Access tab

Project Access

  • The list shows which the users with access to your data, and what permissions they have:
  • Collaborators can read and download data. They cannot modify or create new data.
  • Members can create and modify data, in addition to reading and downloading data.
  • Owners have full project management control over your project.

Adding users to your project§

You can add additional users to your XNAT project. If the user does not currently have an account on the same XNAT server, the MIRSG team will need to approve their account before they can log in and access your project.

You can give project members one of the following permissions:

  • Collaborators can read and download data. They cannot modify or create new data. You should give your project members Collaborator permissions unless they need to be able to upload or modify data.
  • Members can create and modify data, in addition to reading and downloading data. You should give your project members Members permissions if they will be uploading data or modifying data entries on the server.
  • Owners have full project management control over your project. They can manage users, delete data and modify custom data types. It is recommended that you speak to the MIRSG team before assigning owner permissions, as project managers need to be aware of their responsibilities.

Adding users who already have an account on the server§

If the user already has an account on the same XNAT server, you can add them immediately to your project:

  • Navigate to your project (Click the Browse drop-down, click My Projects and select your project)
  • Click the Manage tab
  • Under Add Users from List click the Show List button. The Add Users from List box should appear. Add Users from List

  • If you don't see the user you are looking for, type part of their name into the Find User search box.

  • For the user you wish to add, change the Group box to one of the following:
  • Collaborators to allow the user to read and download data
  • Members to allow the user to create and modify data, in addition to read and download data
  • Click Add Users

Adding users who don't have an account on the server§

New accounts need to be enabled by MISRG team. We suggest you contact the MISRG team before inviting users to your project.

Adding UCL users§

  • Send MISRG the names and UCL emails of the users you want to add.
  • Send your new users the login instructions.
  • Invite the users from your project

  • Navigate to your project (Click the Browse drop-down, click My Projects and select your project)

  • Click the Manage tab Add/Invite User
  • In the text box under Add/Invite User enter the UCL email address of the new user. You can add more than one user. If the input box is too small, you can drag the bottom-right corner to expand it.
  • Underneath, select the level of access you wish to grant to the user for your project:
    • Collaborators to allow the users to read and download data
    • Members to allow the users to create and modify data, in addition to read and download data
  • Click Add User

  • The user will receive an email. They should follow the log in instructions to access the server and create their account. When they first log in, new UCL users will need to:

  • authenticate with their UCL Single Sign-On account

  • create a new XNAT server account with prompted, linked to their SSO
  • Verify their email address when they receive an email link
  • Wait for the MISRG team to enable their account before attempting to log in

  • Please inform users that they can create their account but they cannot log in until their account is enabled by the MISRG team.

Adding non-UCL users§

If the new user is not a member of UCL, you should contact MISRG to create an external account for them. You must ensure that the data sharing agreement with the data owner permits you to share the project data with them.


Removing a user from your project§

  • Log into the XNAT server
  • Navigate to your project (Click the Browse drop-down, click My Projects and select your project)
  • Select the Access tab
  • To remove a user from the project, click the X next to their username under the Remove column.

Modifying a user's role on your project§

  • Log into the XNAT server
  • Navigate to your project (Click the Browse drop-down, click My Projects and select your project)
  • Select the Access tab
  • To change a users's access, modify the Group dropdown next to their username:
  • Collaborators to allow the users to read and download data
  • Members to allow the users to create and modify data, in addition to read and download data
  • Owners will give the user full administrator control of your project. Please see the section Giving administrator access to other users before doing this.
  • After modifying a user's access, a box appears allowing you to choose whether XNAT sends the users an email informing them of their new permissions. Click No if you do not want XNAT to send them an email. Otherwise click Send Email.

Giving administrator access to other users§

You can give project manager access to additional users but this should be first discussed with your PI and the MISRG team, because project managers need to be aware of their responsibilities. For the majority of users, project "Member" status is more appropriate.

Project Administrator access is only required for users who need to delete data or manage users on the project.

  • Log into the XNAT server
  • Select your project
  • Click the Manage tab
  • Under Add Users from List click the Show List button. The Add Users from List box should appear.
  • If you don't see the user you are looking for, type part of their name into the Find User search box.
  • For the user you wish to give project administration access, change the Group box to Administrators.
